OHIO BSC Hiring Services
The OHIO Business Service Center offers hiring and associated logistics support to our partner units. Our team of employment coordinators provides services that include coordinating job postings, scheduling interviews, maintaining compliance with hiring policies and processes, advertising positions, and much more. Our hiring services support process is detailed below.

Prior to posting a job, the hiring department should note the following:
- Contact your University Human Resources (UHR) Liaison for guidance on the development of (or use of existing) job profiles and for compensation grading
- Ensure approval from the Executive Review Committee (ERC) has been received (which is coordinated in your planning unit) unless an exemption is in place for the following position types:
- Grant-funded: exempt unless the position is partially funded with general funds and/or there are plans to fund with general funds in the future
- Temporary: exempt
- Term: exempt unless term positions are for one year or more or there is a subsequent extension of the position to surpass 1 year
- Intermittent: exempt
- Adjunct instructors: exempt
- Pool postings: the posting of the pool does not need to be reviewed by the ERC; however, the intention to hire from the pool does require the approval from the ERC (departments may submit the request to the ERC before or after the pool posting is posted but no later than the intention to hire from the pool)
- Special/Other: if the position type has received an exemption for ERC approval that is not listed above
- An account number to charge salary will be needed to post the position. If you don't know which account number to charge, contact your planning unit's financial officer to request it

- YOU, AS THE REQUESTOR: Submits request for hiring support via the (for assistance, contact your OHIO Business Service Center (BSC) Employment Coordinator) and indicates whether the following support is needed:
- Interview Scheduling/Calendaring
- Candidate Travel Coordination
- Additional Advertising Not Provided by UHR (e.g., journals, industry-specific and job-posting web sites, ListServs, newspapers, social media, etc.).
Note: UHR automatically advertises at the following: HERC (Higher Ed Recruitment Consortium); Higheredjobs; Indeed; OhioMeansJobs; and, SREB (when PhD is required)
- OHIO BSC EMPLOYMENT COORDINATOR:
- Drafts job posting in PeopleAdmin
- Shares draft job posting with requestor via ticket email
- REQUESTOR: Reviews and approves job posting via ticket email
- OHIO BSC EMPLOYMENT COORDINATOR: Via PeopleAdmin, submits job posting for approval routing:
- Planning Unit
- Provost (for faculty and academic-unit positions)
- UHR
- APPROVERS: Approve job posting in PeopleAdmin (~1 - 10 business days; OHIO BSC employment coordinator contacts UHR liaison if approvals are beyond five days)
- UHR:
- Posts position to
- Auto-generates message to requestor and search committee members with web site login credentials and link to view applicants
- OHIO BSC EMPLOYMENT COORDINATOR: If requested, places additional advertisements

Important Note: Applicants must be approved by UHR prior to conducting final interviews
- OHIO BSC EMPLOYMENT COORDINATOR: Once the posting closes, prepares and sends secure link for applicant list to requestor for completion. Applicants must be coded (codes provided with applicant list) to indicate if they have been selected for a final interview or not
- REQUESTOR:
- Applicants must be approved by UHR prior to conducting final interviews
- Optional: Conducts screening interviews, which do not require approval and may be conducted prior to completing the applicant list coding
- Note: The OHIO BSC has compiled to assist you if needed
- Completes applicant list coding for all applicants (either online or via Teams with the OHIO BSC employment coordinator)
- Applicants must be approved by UHR prior to conducting final interviews
- OHIO BSC EMPLOYMENT COORDINATOR:
- Enters codes for each applicant in PeopleAdmin
- Completes Pre-interview Candidate Selection form in PeopleAdmin and routes to UHR for review and approval
- UHR: Reviews and approves applicant list (~1 - 2 business days)
- OHIO BSC EMPLOYMENT COORDINATOR: Schedules interviews and/or arranges candidate travel if requested
- REQUESTOR: Prepares interview agenda if needed
- OHIO BSC EMPLOYMENT COORDINATOR: Provides agenda, if prepared, and travel and parking information to each candidate selected for an interview

- SEARCH COMMITTEE: Conducts interviews and recommends candidate for hire ()
- REQUESTOR OR OTHER UNIT DESIGNEE:
- Obtains any needed approval for salary range from planning unit, which must comply with UHR's compensation guidelines
- Determines start date (contingent upon background check; per UHR, must be a Monday)
- Makes verbal offer to selected candidate
- Notifies OHIO BSC employment coordinator of the following once verbal offer accepted via ticket email:
- Salary
- Start date
- Relocation or sign-on bonus details if applicable
- Work location (on-site, hybrid, or remote)
- For 1699 positions, work schedule
- OHIO BSC EMPLOYMENT COORDINATOR:
- Once the candidate is selected, prepares and sends final applicant list to requestor for coding
- The list must be completed (either online via an easy-to-use Excel form or via a Teams meeting between the requestor and employment coordinator) to finalize the posting in PeopleAdmin
- REQUESTOR: Completes final applicant list coding
- EMPLOYMENT COORDINATOR:
- Enters codes for each applicant in PeopleAdmin
- Sends message to hiree to inform of next steps
- Selects hiree in PeopleAdmin. If new to the university, hiree is sent an automatic request to provide personal information for Hiring form
- Completes the Hiring form and submits to UHR
- UHR: Initiates background check and sends official offer letter to candidate, excluding faculty positions which are sent from the Dean's office
- HIREE: Submits required information to begin the background check
- HIRERIGHT (vendor): Completes background check (~2 - 5 business days)
- OHIO BSC EMPLOYMENT COORDINATOR: Receives background check notification and notifies requestor

- OHIO BSC EMPLOYMENT COORDINATOR:
- For 1699 positions, notifies the union president, planning unit, and department of new hires, position changes, and position movement
- Processes candidate expenses (e.g., hotels, mileage, parking, etc.)
- Processes advertising payments
- UHR: Initiates hiree communication and onboarding steps (onboarding steps and process)
- OHIO BSC EMPLOYMENT COORDINATOR:
- Addresses ad hoc questions from hiree or directs hiree to appropriate resources
- Closes ticket once all requestor questions or information needs have been addressed, including key information about next steps that will be taken by UHR's Employee Service Center
- UHR AUTOMATED MESSAGE: Seven calendar days after UHR transitions the position to the status of filled, applicants will be automatically notified via email that they were not selected for hire; requestor may send a message to uhr@ohio.edu to request an extension
- REQUESTOR OR DESIGNEE: Optionally notifies applicants who were not selected prior to the automated message that will be sent from UHR ()
- SUPERVISOR: Contacts hiree with information about where and when to report on their first day
Note: If the search fails or is cancelled, the OHIO BSC employment coordinator will work with the unit's UHR liaison and the requestor to determine next steps.
